To set up your mailbox
Your mailbox will not activate until this is complete!
Whether you are a Standard MiCollab Softphone user or Mitel Contact Centre Softphone user (also known as ACD Agent) there are two ways to setup your Voicemail account:
- Using MiCollab Softphone
- Using any telephone - external to the university such as a home phone or Mobile Phone
If you have a Roaming Extension there are also two ways to setup your Voicemail account:
- While Logged in to a Mitel handset with your Roaming Extension
- Using any telephone - external to the university such as a home phone or Mobile Phone
Dialling in to your Voicemail Using the MiCollab Softphone
Dial the Voicemail Message Centre service from your softphone by typing in the Search or Dial box and clicking on the number under Make a call:
- For Standard MiCollab Softphone users this is 6969
- For Mitel Contact Centre Softphone users this is 6990
OR
You will be asked to enter your Passcode. If this is your first attempt at configuring voicemail, the passcode will have been supplied to you in an email. Use the numeric dial pad to enter the passcode and wait for the code to be accepted:
Once your Passcode has been accepted, you will prompted to configure Your Voicemail as described in a following section.
Dialling in to your Voicemail Using your Roaming Extension
Dial the Voicemail Message Centre service from your Roaming Extension by dialling 6969.
You will be asked to enter your Passcode. If this is your first attempt at configuring voicemail, the passcode will have been supplied to you in an email. Use the numeric dial pad to enter the passcode and wait for the code to be accepted.
Once your Passcode has been accepted, you will prompted to configure Your Voicemail as described in a following section.
Dialling in to your Voicemail from Any Telephone
From any telephone call the Voicemail Message Centre service using the following number:
- For Standard MiCollab Softphone and Roaming Extension users this is 020 7882 6969
- For Mitel Contact Centre Softphone users this is 020 78826990
When prompted enter your mailbox number i.e. your extension number. Press the ‘*’ whilst being prompted to leave a name and message.
You will be asked to enter your Passcode. If this is your first attempt at configuring voicemail, the passcode will have been supplied to you in an email. Use the telephone dial pad to enter the passcode and wait for the code to be accepted:
Once your Passcode has been accepted, you will prompted to configure Your Voicemail as described in the following section.
Configuring your Voicemail Box in the Message Centre
Setting a passcode
- Follow the voice tutorial then when ready press 8 for user options.
- Press 7 to enter a new Passcode.
Recording a Greeting
- When prompted press 8 to enter user options.
- Press 4 to record a greeting for callers
- After recording the greeting press 7 to review greeting, then press 9 to save or press 3 to re-record.
Recording Your Name
- When prompted press 8 to enter user options.
- Press 6 key to record your name
- After recording your name press 7 to review recorded name, then press 9 to save or press 3 to re-record
Saving the Configuration
- After setting up your mailbox press 9 to save and exit the system.
Please note: Your mailbox will not activate until this is complete.
How will I know if I have any messages?
A light on your phone will be flashing
How do I play my messages back?
- From your phone dial 6969 (the voicemail number)
- When prompted enter in your passcode
- Press 7 to play your messages
During the playback of your messages you can:
There are 4 buttons which can be used during playback of your message, they are displayed in the table below:
Button | What will it do? |
1 | Pause the message (press 1 to continue again) |
# | Skip forward 5 seconds into the message |
* | Skip back to 5 seconds |
8 | Skip to the beginning of the next message |
After playing your messages
You can press 6 different buttons to deal with your messages after listening to them.
Button | What will it do? |
2 | Record and send an answer to the sender of your message |
3 | Discard the message (delete) |
4 | Transfer the message to another user's mailbox |
5 | Save the message |
6 | Record a new message |
7 | Play the whole message again |
You can retrieve your messages remotely
- Dial the remote access number 0207 882 6969
- When prompted, enter in your mailbox number (extension number)
- When your mailbox answers, press the * key
- When prompted, enter in your passcode
- Press 7 to access your messages as normal
How do I change my message, passcode or name?
- Dial 6969 (voicemail no.)
- When prompted enter in your passcode
- Press 8 for user options
From user options you can then
PRESS 4 to change your greeting message
PRESS 7 to change your passcode
PRESS 6 to change your name
PRESS 9 to return to the main menu
