Re-enrolment

Whether you are a new student or are continuing your studies, it is important that you enrol every year. You will find guidance on this process, useful contacts and tips on this page.

If you are continuing your studies into the next academic year or returning from an interruption of study, you will need to re-enrol in order to become fully enrolled onto your programme. If you are a new student, you should see the New Students Website for Enrolment information instead. Instructions of how to do this can be found on the 'How to Complete Re-enrolment' tab.

You will be sent an email to let you know when re-enrolment is available to you. Re-enrolment is an online task that you should complete in MySIS by the given deadline. When the task is available to you, login to MySIS and choose the ‘My enrolment’ tab along the top menu bar to access re-enrolment.

If you are invited to complete re-enrolment and have access to the MySIS task, that means that you are required to re-enrol. 

We recommend you re-enrol as soon as you can to ensure that any student loans or grants are processed in good time. If you need a replacement student ID card, you will need to re-enrol before you can get one.

Deadlines for Re-enrolment

  • For students continuing into 2024/25 or returning from interruption in September 2024: Re-enrolment opens from Monday 19th August 2024 but you will receive an email to inform you when you are able to re-enrol. All students required to re-enrol should do so, including postgraduates that started in January 2024 (you are required to re-enrol into the 2024/25 academic year). The re-enrolment deadline is Sunday 6th October 2024.
  • Postgraduate Research Students: If you are experiencing issues with your re-enrolment, please contact the Research Degrees Office for support via researchdegrees@qmul.ac.uk or visit them in 213 Graduate Centre, Mile End Campus (building 18 on the map).
  • For students returning from interruption in January 2025: You will be emailed when the re-enrolment task is available to you. All students required to re-enrol should do so. The re-enrolment deadline is  Sunday 2nd February 2025.

Reasons why the task may not be available to you:

  • If you are being investigated for an assessment offence, you may not be able to re-enrol until the Appeals, Complaints and Conduct Office have completed their investigation. If you have any queries about your re-enrolment, please contact your Student Support Officer
  • If you have or had late summer assessments, you may not be able to re-enrol until results have been received and your eligibility to progress to the next academic year has been confirmed. If you have any queries about your progression, please contact your Student Support Officer.
  • If you are enrolled on multiple programmes, you may need to make a change in MySIS so that you can re-enrol onto the correct programme. Please choose the 'My Courses' tab in MySIS and select your most recent programme/the programme you are attempting to Re-enrol on as the programme for the current session or your new default programme. You should now find the Re-enrolment task is available to you within 'My Enrolment'. The 'My Courses' tab is always available and you can switch your default programme as and when needed.

 

Helpful tips

  • International students: If your passport/visa details are incorrect or have expired you should still complete the re-enrolment task - you do not need to update these details before re-enrolling. You should email immigrationcompliance@qmul.ac.uk with clear copies of your new documents as soon as possible and the team will update your details (British and Irish Citizens or those on Distance Learning programmes do not need to provide updated passport/visa details and should continue with their re-enrolment)
  • If you need to contact the Student Enquiry Centre about your re-enrolment (non-fee related), please ensure you submit your enquiry under 'Re-Enrolment' rather than 'Enrolment' (or include 'Re-Enrolment' in your email subject line) so that we can allocate your enquiry accordingly
  • If you have any questions about your fee payment, please direct them to the Fees Office (Ground Floor, iQ East Court / fees@qmul.ac.uk)

How to Complete Re-enrolment

As part of the re-enrolment task on MySIS, you will be asked to review and complete the sections below. Once you have completed a section, you will be able to re-enter it and amend the information you have submitted until you reach the Declaration. The Declaration is the final step of your re-enrolment and once you submit this your re-enrolment will be complete and you will no longer have access to the task. If you are having issues with your re-enrolment or the task, please contact the Student Enquiry Centre for support.

Re-enrolment consists of the following sections:

1. Personal, Financial and Academic Details

  • Review your personal and programme details (Note regarding your Domicile/Country of Permanent Residence: This is dependent upon your permanent home residence at the point you became eligible for enrolment at the start of your programme. This does not need to change throughout your studies, even if you have moved)
  • Review your passport/visa details - you must contact immigrationcompliance@qmul.ac.uk if your passport and/or visa details are incorrect or have expired (this does not apply to British or Irish Citizens or those on Distance Learning programmes). Please continue with your re-enrolment even if these details are incorrect as we will update them as soon as possible.
  • Tell us how you will be paying your tuition fees for the year
  • The Higher Education Statistical Agency (HESA) requires us to collect details of our students’ ethnicity and disabilities as a means of monitoring the success of equal opportunities policies at a national level. This information is kept confidential and helps us to provide you with information on facilities and services that may be useful

2. Qualification History

  • Update us on any recent qualifications you have achieved

3. Address Information

  • Review/update your permanent home address
  • Review/update your term-time contact address
  • Review/update your emergency contact details

Tips: 

  1. If you cannot progress through this section, make sure that any telephone numbers entered are in the right format with the correct number of digits and that you have selected the country code from the dropdown.
  2. You can update all contact details for yourself and your emergency contacts throughout the year on MySIS. Read our guidance on updating your address details for information.

4. Processing of your Personal Data

  • You will be asked to read a declaration about the purposes for which we use your personal data and to whom we may disclose it when required. You must read this declaration carefully.

5. Declaration

This is the final step where you are required to:

  • confirm that all information you have submitted as part of re-enrolment is correct
  • accept that you are responsible for paying your tuition fees in accordance with the Tuition Fee Policy
  • agree to comply with QMUL’s Academic Regulations and all other published regulations and policies

Completing re-enrolment means:

Re-enrolment is an essential requirement for your programme and failure to re-enrol by the deadline will result in your registration at the university being terminated and you will no longer be a student of Queen Mary.

 

Visa Details:

If you are seeing the 'Current Immigration Permission / Visa Details section', it is because you had previously indicated that you are a non-British/Irish national in Nationality.

British nationality:

Some British nationalities require immigration permission to study in the UK such as British National Overseas (BNO) or British Overseas Territories Citizen (BOTC). To be a British citizen, you must be a holder of:

  • a full UK passport (the nationality in your passport must state British Citizen) OR
  • a Certificate of Naturalisation

If you previously indicated your nationality as non-British/Irish but:

  • you are a dual national and one of your nationalities is British Citizen OR
  • you have changed nationality to British Citizen since your initial/previous enrolment,

please contact the Immigration Compliance Team on immigrationcompliance@qmul.ac.uk in order for your record to be corrected before proceeding with re-enrolment.

Current Immigration Permission / Visa Details:

All non-British/Irish nationals studying in the UK are required to provide us with evidence of their immigration permission. The re-enrolment task will display your existing passport and immigration permission/visa details. Please check that they are correct or if anything is missing:

  • If your passport details are incorrect (expired) or missing, you will be able to upload a copy of your current passport
  • If your immigration permission/visa details are incorrect or missing, you will be able to upload evidence of your current permission

Returning from interruption:

If you are a sponsored student returning from interruption for September 2024, you will need to provide evidence of your new Student permission - not the previous permission that was withdrawn/has expired. You will need to provide:

  • a copy of your stamped vignette
  • unstamped vignette if you entered via eGates plus your boarding pass/flight ticket indicating date of re-entry to the UK
  • if you have an eVisa, you will need to provide us with a share code to verify your digital status plus your boarding pass/flight ticket indicating date of re-entry to the UK.

If you have an eVisa:

Please use the 'View and prove your immigration status - GOV.UK (www.gov.uk)' service to request a share code.

Please ensure you select "To prove my immigration status for anything else" when generating your share code. The correct share code for our purposes will start with "S".

EU Settled Status/Indefinite Leave to Remain/Settlement/No Time Limit

If you have previously informed us that you have a form of UK settlement, your immigration permission/visa expiry date will have been calculated to a date 10 years in the future from your original enrolment date or the date the Immigration Compliance Team undertook a digital status check for your right to study in the UK. You should therefore confirm that the details are correct and continue with your enrolment.

Pre-Settled Status

The UK Government is changing the duration of Pre-Settled Status. It will automatically be extended by 2-5 years. You should be shown the expiry date originally provided when your digital status was verified. If this has changed, please provide any new expiry date visible to you when viewing your digital status and provide us with a new share code. If no expiry date is shown on your status, please add either 10 years to your issue date (if visible to you) or add 5 years to the date you complete re-enrolment. 

BRPs expiring on 31 December 2024:

The UK Government is replacing immigration stickers, stamps and cards with eVisas by 2025. You will need to create a UKVI account to be able to view your digital status. Further information can be found on our Digital Immigration Status: eVisa webpage.

British and Irish Citizens or those on Distance Learning programmes overseas (not within the UK) do not need to provide updated passport/visa details and should continue with their re-enrolment.
